Job Description

Stoltz Management of Delaware is hiring for an Administrative Assistant to join the team!

The candidate should have the ability to work in a fast-paced environment and handle requests in a timely-manner. We are looking for someone who is able to work diligently under pressure and multi-tasking, who can prioritize tasks, who possesses strong initiative and sense of personal responsibility, and has the ability to interact with various levels of professionals.

The ideal candidate will exhibit high standards, excellent communication skills and have an ability to take initiative.

Focused Job Duties

  • Assist Construction Manager and Property Managers in a variety of tasks including scanning, mailing, organizing, and processing documents.
  • Assist with and update property inspections and notices.
  • Handle and process all incoming certificates of insurance from tenants and vendors.
  • Input and update information in databases and spreadsheets.
  • Assist with preparation of purchase orders and service agreements
  • Maintain up-to-date data including tenant contact information, building records, lease files, and contract files

Other Duties

  • Answer and screen incoming telephone calls from tenants, vendors, and all other inquiries.
  • Assist with incoming and outgoing mail distribution as needed
  • Set up and keep record of all incoming and outgoing correspondence via FedEx, UPS, Priority, certified mailings as needed
  • Ability to deal with issues and situations that may arise and maintain a professional demeanor.
  • Archival of records and retrieval of records

Required Qualifications

  • Excellent organizational, written, and verbal communication skills 2-5 years in an administrative role
  • Minimum of 3 years of experience in commercial real estate property management
  • Experience supporting departments in a real estate firm
  • Excellent time management skills
  • Preferred Qualifications
  • Bachelor’s degree in Business, Real Estate, Finance, and/or Accounting preferred
  • Knowledge of real estate and construction terminology preferred
  • Advanced MS Office, Teams, and Data Tables experience preferred
