Job Summary The Administrative Assistant/Receptionist is the first point of contact for all visitors and callers to the Department of Public Health. The Administrative Assistant/Receptionist is responsible for welcoming visitors with exemplary hospitality and appropriately routing visitors to employees and services. This position also provides a variety of routine clerical and secretarial duties.
This position works under the direct supervision of the Health Officer.
Essential Responsibilities Serves as initial point of contact for all visitors and callers, ensures visitors and callers are made to feel welcome and supported, registers visitors for appointments, gathers information, and refers customers to appropriate Department staff or resource.
Welcomes and directs visitors.
Administers and refers all incoming calls to appropriate personnel.
Cashiering and fiscal bookkeeping.
Manage and coordinate office supplies.
Maintains data in multiple databases.
Sorts mail, makes copies, takes notes and minutes, and supports staff with other reasonable assignments to this position.
Carries out the mission and vision of DPH.
PERIPHERAL RESPONSIBILITIES: Participates in emergency preparedness exercises and fills role during a public health emergency, disaster or exercise.
Other duties as assigned by the Health Officer.
Qualifications EDUCATION: High School diploma or equivalent.
EXPERIENCE: Experience with public contacts and/or any equivalent combination of education and experience. Experience working with Microsoft Office programs preferred.
Knowledge, Skills & Abilities Ability to communicate effectively orally and in writing.
Ability to effectively greet, welcome and interact with the public.
Ability to establish and maintain effective working relationships.
Excellent time management skills.
Ability to multitask.
Ability to maintain agency confidentiality.
Skilled in attention to detail, accuracy, and organization.
Skilled in the operation of Microsoft Office.
Ability to sit or stand in one area for an eight-hour shift.
