Job Description

The Community Arts Center Manager oversees all Community Arts Center activities, including day-to-day facility operations, administration, management of onsite programs, and related instructor and volunteer scheduling. The manager ensures the facility is fully operational, maintaining resources and supplies for operation and programs, overseeing onsite contractors and volunteers, as well as serving as a liaison between the center and the museum.

This position requires excellent attention to detail and the ability to work independently. Strong interpersonal and communication skills are essential, as are flexibility and commitment to working as part of a team. This role is directly tied to helping the CMA achieve its strategic goals of providing access to quality arts programming to visitors of all ages within the community through unique onsite programs and in support of signature Community Arts programs, such as Parade the Circle and Chalk Festival.

Requirements and Key Competencies

  • Bachelor's degree (B.A. or B.S.) in Liberal Arts, Facility Management, Arts Administration, or related field; or at least 5 years related experience and/or training; or equivalent combination of education and experience.
  • At least 5 years’ experience in administrative work (e.g., scheduling, project and data management, billing, invoicing, etc.).
  • Bilingual in English and Spanish preferred.
  • Strong organizational, interpersonal, communication, and time management skills.
  • Must have flexibility to work Wednesday-Sunday schedule
  • Proficient knowledge of Microsoft Outlook and Office Suite (Word, PowerPoint, Excel, etc.) and the ability to learn new software required. Familiarity with online platforms such as Zoom, Vimeo, and Microsoft Teams.
  • Demonstrated experience managing an onsite facility and/or multiple projects simultaneously in an organized and efficient fashion.
  • Ability to work well under pressure and ability to adapt to a variety of situations, experiment, think creatively, and solve problems.
  • Well-developed collaborative skills and mindset; the ability to work in dynamic, creative teams plus ability to work independently.
  • Ability to receive input and feedback from a variety of sources, and channel feedback into actionable strategy.
  • A strong interest in working in the field of arts and culture.

Essential Functions and Responsibilities

Daily management of facility operations

  • Schedule maintenance and repair work within Center; coordinate specialized facility maintenance requests with museum facilities, as needed.
  • Oversee housekeeping and waste removal; report common area building maintenance work to Pivot facilities manager.
  • Oversee use and maintenance of Community Arts vehicles
  • Maintain resources and supplies for regular operation.

Management of onsite contractors, instructors, and volunteers

  • Coordinate staffing needs, prepare work schedules, maintain records for payroll and time tracking for volunteers.
  • Assist with interviews, hiring, and training of center staff.
  • Create contracts and coordinate hiring paperwork for center staff, arrange background checks, maintain records.
  • Provide staffing updates, successes, and concerns to CMA HR and Director of Community Arts.

Coordination of Community Arts Center programs

  • Schedule programs, manage invoices, and maintain attendance reporting, visitor feedback and statistics.
  • Maintain resources and supplies for program needs, schedule instructors and volunteers.
  • Include all programs in the museum’s central public programs calendar.
  • Coordinate ticketing, facilities, resources; maintain public promotion of schedule.
  • Coordinate marketing materials, signage, promotional materials.

Work in collaboration with museum staff to schedule and coordinate onsite special events; depending on scope of the event, tasks may include schedule event staffing, coordinating catering, entertainment, rental equipment.

Coordinate schedule and set up for Center space usage for Community Arts signature programs, such as Parade the Circle, Chalk Festival and Studio Go

Maintain financial statements and operating records; assist Director of Community Arts with annual budget planning and reporting.


Salary: $50,000/year. Full-time work is 35 hours per week; occasional overtime might be necessary.
