Job Description

Senior Transaction Coordinator

This is a remote position.

As a Senior Transaction Coordinator, you will oversee complex and high-value transactions, ensuring seamless processes from contract to close. Leveraging your diverse experience across multiple states, you will manage a team of transaction coordinators, lead training initiatives, and support continuous improvement in transaction management.

Responsibilities:

  • Oversee and manage high-value and complex transactions, ensuring all required documents and steps are completed accurately and on time.
  • Maintain detailed records of each transaction, including communication, deadlines, and status updates.
  • Coordinate with real estate agents, lenders, title companies, and other stakeholders to facilitate smooth transactions.

Team Leadership:

  • Lead and mentor a team of transaction coordinators, providing guidance and support to ensure high performance.
  • Assign transactions to team members based on workload, expertise, and transaction complexity.
  • Conduct regular team meetings to review progress, address challenges, and share best practices.

Training and Development:

  • Develop and deliver training programs for new and junior transaction coordinators to enhance their skills and knowledge.
  • Create and update training materials, manuals, and standard operating procedures.
  • Provide ongoing coaching and feedback to team members to foster their professional growth.

Process Improvement:

  • Identify opportunities for process improvements and efficiencies in transaction coordination.
  • Implement best practices and standardize procedures across the team to ensure consistency and quality.
  • Collaborate with other departments to streamline workflows and enhance the overall transaction process.

Compliance and Risk Management:

  • Ensure compliance with state-specific real estate regulations and company policies across all transactions.
  • Identify potential risks in transactions and develop mitigation strategies.
  • Stay updated on industry trends, regulatory changes, and market conditions affecting transaction coordination.

Client Relationship Management:

  • Serve as a primary point of contact for high-value clients, providing exceptional service and addressing any issues or concerns.
  • Build and maintain strong relationships with external partners and stakeholders.
  • Represent the company in a professional manner during all client interactions.

Qualifications:

  • Minimum of 5 years in transaction coordination, with at least 2 years in a leadership role.
  • Extensive experience managing transactions across multiple states.
  • Proven ability to lead, mentor, and develop a team of transaction coordinators.
  • Strong understanding of real estate transactions, documentation, and state-specific requirements.
  • Excellent organizational, multitasking, and time-management skills.
  • Superior communication and interpersonal skills, with the ability to manage relationships effectively.
  • Proficiency in transaction management software and other relevant tools.
